Operations Manager
Operations Manager – Shoreditch – £35,000 – £43,000 DOE
My client, a commercial property management company are looking for an experienced Operations Manager to join their team. This role is responsible for running the end-to-end operational delivery of a specialist property technology helping owners and asset managers maximise value from vacant properties.
This role involves setting up new occupations, coordinating leases and terms of business, managing deployment of Wi-Fi/Bluetooth beacon hardware and landing pages, maintaining the operational evidence pack, coordinating council notifications, managing rate deposit and fee invoicing workflows, and keeping client/property status reporting up to date.
Responsibilities:
Service set-up and deployment
- Coordinate the practical set-up of each occupation, including confirming the property, floors/areas, occupation start date, lease/TOB status, and intended removal/vacating date where relevant.
- Manage the operational deployment of Wi-Fi and/or Bluetooth hardware. Including device allocation, testing, installation readiness and evidence capture.
- Maintain a simple deployment checklist for each site. Covering hardware, power, signal/range, URL/QR code, landing page, photos, lease documents and council notification status.
Lease, TOB and document administration
- Track every TOB and lease lifecycle. Through issue, signature, witnessing, reissue, cancellation and completion.
- Council notification. Given when signed lease or authority documentation is in place.
- Maintain central files. For signed leases, TOBs, Adobe Sign copies, site evidence and client correspondence.
Council notification and rates administration
- Coordinate notifications to billing authorities.
- Track council bills, liabilities, credits, deadlines, instalments and payment risks for each occupation.
- Maintain a live WIP/rates-deposit tracker.
Billing, deposits, VAT and Xero workflow
- Work with accounts to raise rate invoices.
- Coordinate with accounts on rates deposits and fee invoicing sequencing.
- Keep records of client payments, council payments and rate deposit balances.
Client and internal coordination
- Act as the operational point of contact between the business rates team, accounts, and any client contacts.
- Produce concise status updates for clients and internal stakeholders
- Help ensure clients understand break, notice and vacating arrangements.
Evidence, compliance and risk control
- Maintain an evidence pack for each deployment.
- Flag any legally or operationally sensitive cases for senior review.
- Ensure offer is presented and run consistently.
Website, landing pages and marketing operations
- Coordinate with marketing/technical colleagues to create and test property-specific landing pages.
- Maintain a deployment log.
- Support targeted marketing campaigns.
Skills and Experience Required:
- Strong operations administration experience in property, business rates, lease administration, billing, legal admin, or client service delivery.
- Confident handling financial administration, including invoices, deposits, payments, refunds and WIP records.
- Experience working with property portfolios and multiple lease/occupation events at the same time.
- Highly organised: can run several live occupations without missing document, payment, or council deadlines.
- Detail-oriented: able to reconcile property addresses, dates, floors, liabilities, invoices and lease status accurately.
- Systems-minded: likes building repeatable trackers, checklists and filing structures.
Salary: £35,000 – £43,000 DOE
Working Hours: Monday to Friday 9am – 5pm, flexible working
