Administration Assistant – Farringdon – £30,000 – £35,000 DOE

Our client, a well-established property investment and asset management company, is seeking a highly organised, proactive and commercially minded Administration Assistant to support the day-to-day operations and assist with the administration of their residential lettings and property management portfolio.

This is a varied role suited to someone who enjoys working in a busy environment and has excellent attention to detail. The successful candidate will work closely with the Property Manager and Director in assisting with tenants and contractors etc.

Key Responsibilities:

  • Accounts & Rent Administration: Verify and reconcile rental payments, identify outstanding balances and assist with maintaining accurate property and tenant financial records.
  • Service Charges & Ground Rents: Monitor service charge and ground rent payments across the portfolio, follow up on outstanding amounts and help ensure payments are made within the required timeframes.
  • Telephone & Enquiries: Manage incoming calls and general enquiries in a professional and courteous manner, taking accurate messages and directing enquiries to the appropriate person.
  • Tenant & Contractor Liaison: Communicate with tenants, contractors and suppliers regarding general property-related queries and maintenance issues.
  • Office Administration: Organise and maintain accurate filing systems, documents, contracts, correspondence, and property records both electronically and physically.
  • Scheduling & Coordination: Assist with arranging appointments, meetings, property inspections, viewings, contractor visits etc.
  • Property Support: Assist the Property Manager and Director with the day-to-day administration of the property portfolio, including coordinating access, arranging inspections and viewings and following up on outstanding property-related matters.
  • Property Inspections & Viewings: Conduct property inspections and viewings when required, ensuring properties are presented appropriately.
  • Social Media: Assist with managing the company’s social media accounts
  • Mail & Couriers: Manage incoming and outgoing post, distribute correspondence internally
  • General Office Support: Provide wider administrative support to the team and take responsibility for ad hoc tasks and projects to help maintain an efficient and well-organised office environment.

Qualifications & Experience

  • Must have at least 2 years’ experience in the property sector
  • Bookkeeping experience is preferred
  • Strong computer literacy with proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace applications
  • Experience with QuickBooks or similar accounting software is desirable
  • Excellent organisational skills with the ability to prioritise tasks effectively
  • Fast and accurate typing skills with attention to detail
  • Good communication skills, both written and verbal, demonstrating professional phone etiquette
  • Data entry experience with high accuracy levels
  • Ability to work independently as well as part of a team in a busy environment
  • Previous clerical experience is advantageous but not essential for highly motivated candidates

Salary: £30,000 – £35,000 DOE
Working Hours: Monday to Friday 9am – 5pm, Office Based
